Conditional Formatting & Visual Data Alerts

Data bars, color scales, icon sets, and formula-driven highlights

Conditional Formatting applies colors, icons, and in-cell data bars automatically based on cell values, highlighting trends and critical thresholds visually.

Conditional Formatting Types

Highlight Cell Rules: Greater Than, Less Than, Duplicate Values.

Data Bars: Draws mini horizontal bar charts directly inside numeric cells.

Color Scales (Heatmaps): Colors cells along a 2-color or 3-color gradient (e.g. green for high revenue, red for low).

Custom Formulas: Use formulas like =$C2="Overdue" with a locked column reference to highlight entire rows across the table.

Pro Tip

When writing custom formulas for conditional formatting across multiple columns, always lock the column with a dollar sign (e.g. =$C2>100) so the entire row highlights consistently.
